Amanda & Amber Business Consulting is a boutique Human Resources and Change Management firm supporting small & medium sized organizations across Canada. We are a women-founded team, with a strong emphasis on work-life harmony, community involvement, and client-centered engagement. We are looking for a proactive and detail-oriented Office Administrator to support our growing team. This is a hybrid role based in Calgary, with a mix of work from home and work from our downtown office (beside Hotel Arts).

The Role:
As our Office Administrator, you’ll be the glue that keeps our team running smoothly. From managing day-to-day office operations to supporting our consultants and clients, you’ll have a hand in everything from invoicing to social media. This role is ideal for someone who thrives in a fast-paced environment, enjoys variety, and takes pride in organization and client service.
This is a part-time position anticipated at 10–20 hours per week, with most hours worked during regular business hours.

Key Focus Areas:

Office Administration & Coordination

  • Act as office keyholder: coordinate consultant schedules, prep boardrooms, and ensure the office is well-stocked and welcoming.
  • Manage incoming communications, scheduling, and general office operations.
  • Support travel bookings, meeting coordination, and event logistics as needed.
  • Maintain digital and physical filing systems, ensuring accuracy and confidentiality.

Finance & Data Management

  • Process invoices, accounts receivable, and accounts payable.
  • Support time tracking, hours reconciliation, and related reporting.
  • Maintain databases including CRM, project management tools, and client records.
  • Prepare reports and dashboards to support business operations.

Marketing & Communications

  • Assist with formatting and distributing newsletters.
  • Provide social media support (content scheduling, engagement, light copy support).
  • Format client-facing documents and presentations in line with brand standards.

Consulting Team Support

  • Provide overflow support for consultants during busy periods, which may include:
  • Recruitment support (posting jobs, screening resumes, scheduling interviews).
  • Formatting deliverables, reports, and PowerPoints.
  • Conducting light research or drafting materials.
  • Jump in where needed to keep projects moving smoothly.

General Administration

  • Handle office mail, courier services, and supply orders.
  • Maintain confidentiality with sensitive HR and client documents.
  • Contribute to continuous improvement of processes and systems.

Our Ideal Candidate

Must-Haves

  • 3–5 years of experience in office administration, executive assistance, or business operations.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Comfort with numbers, invoicing, and accounts payable/receivable.
  • Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Tech-savvy with the ability to learn and manage CRMs, project management platforms, and social tools.
  • Excellent written and verbal communication skills.
  • Discretion and professionalism when handling confidential information.
  • Based in Calgary, with the ability to work in-office part of the week (approx. 50%).

Nice-to-Haves

  • Experience with CRM management, newsletter tools, or social media scheduling platforms.
  • Background supporting professional services or consulting teams.
  • Exposure to recruitment coordination or HR support functions.
  • Bookkeeping or accounting support experience.
  • A proactive, “see what needs doing” mindset and eagerness to support a growing business.
